Categories are a fundamental dimension of your story. They give items their different colours and also allow you to control at a global level what content (panels) you want to be displayed when any item in that particular category is opened.


Categories are used to separate items into distinct groups or entities. It is possible that your story will only need one category but typically most stories will have several categories that distinguish entities such as projects, people, trends, technologies, objectives, products, programs, value streams, capabilities etc.


Alongside name, category is a field that is always complete with items, when creating new items, a category must be assigned or will be assigned as default.


There is no limit on the number of categories you can create in your story. Once created, categories can be filtered in and out of the various views in your story.


Creating New Categories


To create a new category, navigate to the Items Tab in the Story Setup as shown below:



Once on the Categories sub tab, there is a button to create a new category as highlighted above.


Editing an existing Category


The name, colours that represent the category and the order of categories are all controllable within SharpCloud. With that flexibility, it is easy to ensure the categories are designed to suit the requirement.

To edit the Categories Name, simple double-click on the “Name” field of the category and rename the category. Ensure to press “OK” once all changes have been made to action them.


The Category colour can be amended by either using the colour drop-down available or by typing in a HEX-code, providing a new colour to that category.


Re-ordering categories not only has a visual impact on views but will also determine the behaviour when the view is set to show up/down related items when an item is pressed. For more information on this, visit the article titled Behaviour on Click & Radial View (Relationship View).


To re-order the categories, select the category that needs to be re-ordered and use the “Up/Down” button available in the dialog screen, highlighted below:



Deleting Categories


To delete a category is easy to achieve, the only requirement being no items exist within the category. If an item still exists within the category, it is unable to be deleted.


Note: At least 1 category must exist within a story.


Simply highlight the category that needs to be deleted and press delete, highlighted here:



Sub-categories


Sub-categories can be used to sub-divide the items in one category. They are specifically useful as part of a roadmapping process and can be displayed on the axes of some types of views (grid, layer, and timeline view). You can also auto-create them when you paste data into the data grid using the format Category.Subcategory for the values you include in the Category field.


Saving your changes


Save the changes you have made to any of the settings within the Story set-up screens with the OK button or cancel all changes. To undo the set of changes, click the undo button on the toolbar.
