You can copy and paste the full rich content of a set of items from one story to another, using the multi-select capability available from the story screen.  This operation takes the complete item data, including images, rich content such as videos and resources, and all the panels, meaning that you can create detailed items once and then copy them to other stories as needed.

Alternatively, the whole of the current view (including both the view configuration and the displayed items) can be copied and pasted. 

Throughout this article, we’ll refer to the story we’re copying items and/or views from as the “source story” and the story we’re copying items and/or views to as the “target story.”

 

What can be copied across?

The content that you can select in the source story and copy to the target story(s) include:

- One or more items (and their relationships to one another)

- All items

- All items and the source view

Notes:
- SharpCloud does not copy to the clipboard so the items you copy cannot be pasted in to other applications.
- It is important to note that, because all the properties of an item are copied to the target story, any attribute values, categories or tag assignments which apply to the pasted items will be automatically created in the target story.

 

Who can copy items and views between stories?

Anyone with a paid subscription and a minimum Edit share permission on the source story can initiate multi-select mode and select and copy multiple items plus (optionally) their view.


Edit or higher share permissions are required on the target story in order to paste the copied items and view.


Selecting items and initiating multi-select

There are a number of ways to initiate multi-select, depending on whether you are operating a mouse and keyboard or interacting with the story on a touch screen. In all cases you can initiate multi-select mode from any view in SharpCloud.

- Left-click and drag a box around one or more adjacent items in a given view to select them and enter multi-select mode.

- Hold down the Ctrl key while clicking an item and all items in the view will display a check-box in their top left corner identifying whether or not they have been selected.  Once you have selected the first item (through one of the options above) you can release the Ctrl key and the view will remain in multi-select mode. Click on any other items that you want to select.

- Right-click with the cursor on the item you want to select and choose Select item from the drop-down menu, then continue to click on each additional item you wish to select.

Alternatively, when operating on touch screens, using the Microsoft Edge browser:

- Long-press on an item (to initiate the right-mouse click operation) then release to select the item, and touch each additional item you want to select


Copying and pasting one or more items to another story

In the source story, enter multi-select mode and check the box for each item you want to select.

Right click on the view background and select Copy Items from the pop-up menu

Open the target story; from any view, right-click and select Paste Items from the pop-up menu 

 

Copying and pasting all visible items to another story:

In the source story, right-click on the view background to open the pop-up menu

Choose the Select All option and all visible items in the current view are selected

Open the target story and from any view right-click then select Paste Items from the pop-up menu

 

Copying and pasting all visible items AND the source view to another story

In the source story, right-click on the view background to open the pop-up menu

Choose the Copy View option and all items in the current view and all View Settings are copied

Open the target story and from any view right-click then select Paste View from the pop-up menu

 

Notes on pasting:
- Comments are not pasted with copied items
- When pasting a view, all copied items are created and displayed on the new view, as well as on other views in the target story where they meet the filter criteria.

 

Regarding Copying / Pasting in Enterprise Solutions

SharpCloud for Enterprise allows items to be shared across stories using a number of different mechanisms. So, whilst copying and pasting of items may still be appropriate (where you want to create separate versions of items), SharpCloud for Enterprise allows items to be inherited, shared or dynamically pulled into any target story. This means that as you update the item in the source story, it remains fully synchronised and up-to-date in the target stories.

 

Using Templates, both items and or views can be inherited through to the related target stories.
